Thanks to FR. Vu for taking notes and providing the minutes to our meeting on Wed, Nov 6. I've added a few more notes for the record.
1. In attendance were Fr. Vu, Bonnie Lang, Iris & Bill Perkins, Pat Campbell, Celine Funk, Betty Bates, Rose Mary Kollodge, Myrna Emerson, Lielanie Carabba, Babs Glasgow, and Jenny Toland.
2. Opening prayer by Fr. Vu.
3. OLD BUSINESS:
a. Time and Talent Sign Up: Three new members signed up for Merrymakers. Babs, Sybil Holmes and Alex Hoang.
b. SNAF Live Music. Gary Thramer's nephews were already booked. Bonnie reported on a couple of DJs she is trying to contact. Don't know costs at this time. We will advertise our event as a "dinner" and not mention a dance at this time. We will use prerecorded music at a minimum.
4. NEW BUSINESS: ST NICHOLAS FEST
a. A proposal was presented by Jenny as a strategy for this year's event. Basically, we would advertise the dinner as "complimentary", use an RSVP system that would include distributing tickets after each mass and limiting the tickets to 150 (one ticket per single, couple or family). A few Merrymakers have stepped forward and will pick up the cost of the meal. If the meal is free, we think this may encourage people to make a donation to the Liturgy. Gifting forms will be provided for this purpose. We will still have a table display of liturgical items, as we did last year, to demonstrate where the money goes. We will not target the money for anything specific, I.e. an ambry but will keep it generic. All funds will go directly to the Liturgy Fund.
ALL MEMBERS PRESENT AGREED WITH THIS CONCEPT.
b. Based on this approach, Jenny will include a flyer this weekend and speak at the masses to explain this new format. She will also come up with a form/envelop that suggests donations for the Liturgy fund.
c. Volunteers (WE NEED EVERYONE'S HELP):
1) Ticket distribution: Pat will be in charge of volunteers. She had members sign up for distributing tickets after the various masses over the next 4 weeks. Pat will provide procedures for distributing tickets. We need to know how many children under 10 years so Myrna can plan the children's menu.
2) Food Prep/Kitchen Help: Myrna presented her menu. Looks great! She needs volunteers beginning Dec 5, 6 & 7. She will need dishwashers for clean up. Jenny and Myrna will come up with a volunteer sheet for various days. I'll put it out in the vestibule on a chipboard. Please sign up. We need to know if the Youth Group will assist. Follow-up with Tayln.
3) Decorations: Adrienne will take the lead. Per Myrna, she would like to begin decorating the gym two weeks in advance (o/a week of Nov 25). More details to follow. Center pieces for the tables need to be budgeted. She will need volunteers.
4) Bar/bartenders: Bill will check with the Knights to see if they will help with the bar set up and bartending. He also will check if they will help with setting up the tables and chairs for the event. Jenny has a diagram of the table set up from last year and will review to ensure we have room for all. We will have an no-host bar. Prices will be same as last year--wine $3.00/glass and $10.00/bottle, beer $3.00/can/bottle. Bottle water and soda free.
5) Music: Jenny will ask John Fahey if he will help with recorded music.
6) Coat Check: Need volunteers.
7) Clean Up: All Merrymakers should make themselves available for assistance with clean up. Youth Group too. We need to coordinate the take down of chairs and tables probably on Mon, Dec 9th. More to follow.
8) Program for event: Bonnie and Jenny will work on the program. We will see if Joe Waham is available to MC. Jenny will contact him.
9) Accounting: Iris will take the lead. We will see what is required for record purposes. Will let everyone know how many volunteers we need in this area.
d. Other items discussed.
1) Door Prizes: It was suggested that we have baskets of goodies as door prizes. The Tolands will donate a basket of homemade jams and canned fruit. If you would like to donate a basket or know of someone who might donate a basket get in touch with Jenny. We will use the ticket stubs for the drawings.
2) 50/50 Raffle: It was agreed we would have a 50/50 raffle. We will need volunteers to sell tickets.
3) Dec 6 is a mass in honor of St. Nicholas hosted by the Croatian community. I have checked with Maria Petrish and she will see if someone is available to play St Nicholas for our event. More to follow.
Thank you all for a great meeting.
The meeting closed with a prayer.
NEXT MEETING WED, NOV 20 AT 7 PM. Please put on your calendar.
Respectfully,
Jenny
